International Collaboration form email link in GMAS

A recent GMAS release added an “email this page” link to the International Collaboration and Activity form.  This link can be used to send PIs the page they need to complete in GMAS.  This allows the option of either sending the link directly to GMAS to PIs or the PDF form can be sent to PIs if that is preferred.  Please note that there have been edits requested by users to the PDF form and these are currently being worked on.  We will send you the updated PDF form when it is received.

Update Notes: 

 

International Collaboration and Activity

  • Added an "Email this page" link to the International Collaboration and Activity form
  • Fixed a bug which allowed more than 200 characters to be entered in a field with a 200 character limit
  • Fixed a bug on the "show info link" which resulted in an error message when completing the International Collaboration and Activity form

Cost sharing

  • Added an edit button to the cost sharing form view screen
  • Added an org field for companion accounts
  • Fixed a bug where the cost sharing approval did not move to "Done" when a missing signature is removed from the request, resulting in the request moving to "Authorized" status
  • Added the ability to add tool-tips to the individual cost share sources options on the edit version of the form

Interfaces

  • Fixed an issue where the effective and expiration dates for IRB approvals were not updating properly on the approval list screen
  • Fixed a bug related to the NE interface where the job fails when there are multiple rows of data for gl periods

Other

  • Improved performance on the segment homepage
  • Added the ability to have a special character in the domain section of an email address (example: fix@gmas-team.edu)
  • Fixed a bug where individuals names were not displaying properly in tool-tips
  • Fixed a bug on the request dashboard that resulted in an error message when a row was expanded that had a signature requirement with no person assigned
  • Added information to email failures that are received by the GMAS team to include links to relevant documentation for troubleshooting purposes

International Collaborations & Activities Updates and New GMAS Approval

There will be an enhancement to Harvard University Grants Management Application Suite (GMAS) to help with capturing international collaborations scheduled for a launch July 15th, 2020.
 
Background: As you know the federal funding agencies have increased their scrutiny of international research activities requesting additional information on collaborations. This includes requirements for pre-approval from NIH for what is termed as “foreign component”. To meet the need for more accurate information, a team of administrators have developed a series of questions in the Harvard University Grants Management Application Suite (GMAS) to help guide the faculty and administrators in identifying specifics that may require additional information. The enhancements include detailed guidance documents and explanations for the new questions, which have been enhanced by training and informational sessions for research administrators.
 
It is important to note that the changes described will require PIs to work directly with grant manager at both proposal and award stages to answer specific and detailed compliance questions about any international components of PI’s projects.  Timely input and response from PIs to this new requirement will ensure there are no delays with proposal submission and award setup.

New International Collaboration & Activities Approval

GMAS release 1_54 will be available at the start of business on Monday July 13th 2020.  This release includes a new International collaboration and activities form, approval, and request. This initiative was sponsored by the Office of the Provost for Research and OSP.

New international collaboration and activities form

  • New form to indicate international collaboration and activities. The form will have edit and display-only views.

Updates to initial and competing renewal proposals

  • New international collaboration and activities panel
  • New international collaboration and activities form can be edited and viewed from this panel
  • Signatures have been updated to include summary of data entered on international form (with a link to view the form) 

New international collaboration and activities request

  • New international collaboration and activities request can be created
  • New request provides the ability to make updates (such as at award, and as needed, outside of initial/competing request) and to route for central review and approval 

New international collaboration and activities approval and workflow

  • View screen for the new approval
  • Shows the current status of the approval
  • Shows the current version of the international collaboration and activities form
  • Includes a list of all prior versions of the form by request
  • If the status is "Needs review" a department user can either confirm that the current version of the form is still accurate, or create a new version of the form
  • A review of the international collaboration and activities form will be triggered when a notice is logged for the first time on a proposal
  • Email notifications will be sent to those in the Department Administrator role indicating a review is needed

International collaboration and activities cutover

  • All projects in Pending or Unfunded status will have an international collaboration and activities approval automatically generated at go-live. The default status of the approval will be “Incomplete”.
  • The approval question “Is there a foreign/overseas component (include subagreements)?” has been removed from the approval attributes questions.
  • In the past when this question was answered “Yes” it created a “Foreign component approval”. These approvals will remain on the projects for reference (however the approval has been retired, and a new approval can no longer be created).
